The Automation Specialist plays a mission-critical role in driving efficiency, scalability, and data consistency across the organization. This position is responsible for designing, building, and maintaining automated workflows that streamline cross-departmental processes. By leveraging no-code, low-code, and custom-coded solutions, the Automation Specialist ensures operational excellence while aligning automation initiatives with overall business objectives.
The role bridges technical and operational domains — combining systems integration, process mapping, and technical development — to transform manual workflows into sustainable, high-impact automations.
Process Optimization & Opportunity Identification
- Analyze existing workflows, procedures, and methodologies to identify automation opportunities that improve efficiency and repeatability.
- Gather input from stakeholders across departments to define and prioritize automation opportunities.
- Develop detailed process maps and supporting documentation for automation initiatives.
Automation Design & Implementation
- Design, build, and optimize automations using Zapier, Make (Integromat), GoHighLevel, Google Workspace Apps, ClickUp, and Salesforce.
- Develop and maintain custom API integrations and webhooks to connect disparate systems.
- Write scripting solutions in JavaScript and Python for advanced use cases.
Configure and manage databases or data connections (SQL/NoSQL) supporting automations.
- Monitor, troubleshoot, and debug automations to ensure performance and reliability.
- Ensure all workflows are documented and integrated into Standard Operating Procedures (SOPs).
Tool Management & Research
- Manage the tech stack supporting automation operations.
- Research and recommend new tools, integrations, or frameworks to improve process scalability and efficiency.
- Measure and report on the performance of automated systems against business objectives.
System Development & CRM Administration
- Manage and optimize backend systems such as Salesforce and GoHighLevel.
- Support email marketing and lead nurturing programs, collaborating with Sales to drive conversion efficiency.
- Ensure system updates and automation deployments align with business requirements and security standards.
Adaptability & Collaboration
-Work cross-functionally with marketing, operations, and sales to align automation initiatives with departmental KPIs
- Respond effectively to ambiguity, rapid change, and competing priorities in a dynamic environment.
Proven experience designing and managing automations in Zapier, Make (Integromat), GoHighLevel, ClickUp, and Salesforce.
Proficiency in JavaScript and Python for scripting and custom workflow logic.
Strong understanding of APIs, webhooks, and data flow architecture.
Experience managing SQL/NoSQL databases for automation support.
Exceptional problem-solving, analytical, and debugging skills.
Highly detail-oriented, with excellent English communication (written and verbal)
Self-starter capable of managing multiple concurrent projects independently.
Preferred Experience & Competencies
Exposure to additional automation or CRM platforms.
Understanding of business operations, marketing funnels, and sales processes.
Experience with cloud infrastructure (Google Cloud, AWS, or similar).
Competency in process mapping and system documentation.
Strong sense of ownership, accountability, and collaboration across teams.
